How to write and photograph it

1. Use a plain white sheet, not ruled or coloured paper, and a black pen. Every notice listed below says white paper and black ink. A gel or ball pen that writes a solid, dark line works best.
2. Write in your normal running hand, in English. Capital letters are not accepted, so write your name the way you usually write, with a capital only at the start of each word.
3. Copy the text word for word, including the punctuation. Do not correct the grammar of the SBI text ("is of mine"), and do not swap "present" for "submit" or the other way round. The tool shows the line breaks that give a block about twice as wide as it is tall, which suits the 10 × 5 cm box.
4. Leave the ink to dry. Photograph the page in daylight or under a white ceiling light, with the flash off, holding the phone flat above the paper so no shadow falls on the writing. A scanner at 200 dpi or more in true colour also works; IBPS and SBI both ask for at least 200 dpi when scanning.
5. Drop the photo into the tool. If some letters break up, drag the clean-up slider to the right. If the paper shows grey patches, drag it left. Check the preview, then download the JPG and upload it in the hand-written declaration slot.

Cannot write? IBPS allows candidates who cannot write to have the text typed and to put their left thumb impression below it (if they cannot sign either), then upload that page to the same specification. The thumb impression tool covers the separate thumb upload.

Why declarations get rejected

• Written in capital letters. The IBPS notices say Signature / Hand written declaration in CAPITAL LETTERS shall NOT be accepted. SBI has the same line for the hand-written declaration.
• Written in Hindi or another language. The IBPS notices say the declaration has to be in English only, and that one in any other language makes the application invalid. SBI says to write it in English.
• Written by someone else. IBPS: If it is written by anybody else and uploaded … the application will be considered as invalid. SBI says it must be the applicant's own and not by any other person. A typed or computer-made "handwriting" image counts as someone else's writing.
• Handwriting that does not match later. The IBPS PO, Clerk and RRB notices all say that if the handwriting on the declaration is later found to be dissimilar / different, as per expert analysis, the candidature will be cancelled. Write it the way you normally write, because you may be asked to write it again.
• Unclear or smudged. IBPS and SBI both say an application may be rejected if the declaration is unclear or smudged. The portal shows a preview after upload; if it looks faint, fix it and upload again before you submit.
• Wrong size, format or slot. The portal shows an error for a file outside the size or format. Photo, signature, thumb impression and declaration each have their own link, and SBI says a file in the wrong place means you will not be allowed to appear in the exam.

Declaration specs and text by exam

All five notices ask for the same file: JPG or JPEG, 800 × 400 pixels at 200 DPI (which they describe as 10 cm × 5 cm), 50 to 100 KB, black ink on white paper. The wording of the declaration differs, so pick your exam in the tool. Each row below links to the official PDF, checked on the date shown. Notices change between cycles, so compare with the current one before you upload.

The notices give the text in English only, and none of them prints a Hindi version to copy. The Hindi meaning inside the tool is our own translation, there so you know what you are signing. Do not write it on the page.

Your privacy
